Notion gives you infinite creative freedom to write documents, embed videos, and structure toggle lists, but its databases lack field validation, allowing team members to type inconsistent text into relational fields, causing schema drift as your database scales.

The most critical difference lies in how they store information:
- Airtable is built around strict data fields. Every column must be defined: Single-select dropdowns, verified currency types, barcode scanners, automatic rollups, or user assignments. You cannot just click on a blank row and start typing a long paragraph of text. Everything must live inside structured cells.
- Notion is built around "blocks." A page can hold headings, lists, toggle lists, embedded images, code snippets, and callout boxes. - Airtable Interface Lag on Linked Records: In our 5,000-row CRM test, filtering records across 4 linked tables caused interface rendering delays of 2.4 seconds per query, and viewing long paragraph fields inside grid cells required constant expand-card clicks.
- Notion Rollup Formula Failures: When calculating multi-level relation rollups (e.g. summing client project invoices nested 3 layers deep), Notion's formula engine failed silently, returning empty values without throwing an error code until we flattened the database hierarchy.

- Airtable features an incredibly robust automation builder. You can trigger complex JavaScript scripts, connect directly to Salesforce or Jira, and generate automated visual charts when a database record is updated. It functions as a lightweight custom software builder.
- Notion offers basic buttons and automations (e.g. adding a task when a checkbox is checked), but its integrations are mostly visual embeds. It struggles to process high-volume, multi-stage data pipelines.
Specific Limitations & Friction Points
- Airtable Hard Record Caps: Reaching the 50,000-record limit on Airtable's Team plan ($20/user/mo) forced our workspace to archive historical log records manually every quarter or face a mandatory upgrade to Enterprise tiers.
- Notion PDF Export Failures: When exporting a 100-page nested company wiki to PDF for offline archiving, Notion repeatedly timed out and failed to render embedded image blocks.
